Welcome to Tree City Homeschoolers, a 501c3 non-profit organization. You may join our group at any time, however our annual Membership year runs from June 1st to May 31st. Fees are $40 per family per year, which helps cover the cost of insurance, supplies for activities, and overall group operating expenses.

Membership in Tree City Homeschoolers gives families access to various social events for parents, kids, and family, community field trips with group discount rates if possible, weekly classes (for an additional fee), and more throughout the year.

2. MEMBER POLICIES

PARTICIPATION

Tree City Homeschoolers sponsored events will be noted as such. We do not endorse any non-Tree City Homeschoolers activities advertised in our communications. This information is provided solely for the convenience of our homeschool community. Please use your own judgement and discretion as to whether or not your family should participate in events, by-products, take classes, etc.

FIELD TRIP GUIDELINES AND POLICY

It is our desire to provide the group with interesting, informative, fun, and educational field trips. As we venture out, it is also our desire that our families conduct themselves in a manner that would reflect well on the homeschool community and be honoring to God. Please read the Field Trip guidelines below and spend a little time going over the information with your children prior to each outing.

RESPONSIBILITY

Please be responsible for the children you bring. Help them behave so that all can enjoy the trip.
Please do not bring children outside of the age/grade range indicated (if applicable). Some field trips will not be suitable for all.
Please do not bring people who are not signed up for the field trip.

DRESS CODE

Please dress appropriately, and use good common sense. Some field trips may have dress code requirements so please read the event description prior.

CONDUCT (T.R.I.P RULES)

Together: Stay with your parent and group (if applicable). Only touch what you have been told you may touch.
Respect: Be respectful of your surroundings and of the people around you.
Interested: Pay attention to your guide and listen well. Think of thoughtful questions.
Polite: Use your best manners and be sure to thank your guide.

FIELD TRIP REFUND POLICY

When signing up for a Tree City Homeschoolers field trip, know that no refunds will be given should you have to cancel. This is because most of our field trips require a minimum number of paid attendees to ensure a homeschool group discount. We know sometimes unexpected things come up that cause you not to be able to attend a field trip and we recommend trying to find someone to take your place in that circumstance.

EVENTS

Unless specified, any official group events are reserved for our paid participants only. Have a friend that wants to join? Have them complete this same registration application on our website or have them contact us at [email protected] for questions.
Parents/guardians are expected to remain on the premise for all events. Dropping off and leaving is not permitted.

NAME AND USAGE

Permission to use the name Tree City Homeschoolers for any subgroup (i.e.: co-ops, play groups, etc.) must be requested in writing at the following email address: [email protected].
Any activity published on Facebook or website bearing the name Tree City Homeschoolers must be exclusive to Tree City Homeschoolers members.

ADVERTISING

Classes that directly benefit our students may be advertised on our Facebook community page. We ask that you refrain from posting garage sales, classes for adults, multi-level marketing, direct sales, or business advertisements.

3. BYLAWS OF TREE CITY HOMESCHOOL GROUP, INC.

ARTICLE I - NAME AND PURPOSE

Section 1 - Name: The name of the organization shall be Tree City Homeschool Group, Inc.

Section 2 - Purpose: Tree City Homeschool Group, Inc. is a ministry for the purpose of supporting and encouraging homeschool families. This support is provided in the following ways:

By representing the homeschool community in a manner that honors Jesus Christ.
By keeping the group informed of any pertinent homeschool current events such as seminars, conferences, and legal issues.
By providing an atmosphere for exchange of teaching techniques and curriculum information.
By organizing and providing family socials, educational field trips, mom’s support group meetings, enrichment classes, and group activities for our children.

ARTICLE II - PARTICIPANTS

Section 1 - Participant Eligibility: All families involved in parent-directed education including homeschool, cottage schools, and co-ops.

Section 2 - Annual Dues: The amount required for annual dues shall be $40 per family per year, unless changed by a majority vote of the board at a board meeting. Renewal dates for each school year will be determined by the President of the Spring Board Meeting. A school year shall run from June 1st to May 31st. Continued participation is contingent upon being up-to-date on dues and being a current homeschooling family or actively serving in Tree City Homeschool Group, Inc.

Section 3 - Resignation and termination: Any participant may voluntarily leave the group by notifying the board. No dues paid for the current year will be refunded. The Board reserves the right, by a majority vote, to remove participants from the group.

Section 4 - The organization will not have voting members. All decisions will be made by the board of directors.

ARTICLE III - BOARD OF DIRECTORS

Section 1 - Board rules and Duties: Shall consist of 3 to 7 voting members of the board. Their duties are as follows:

The President shall receive and review bank statements, convene regularly scheduled board meetings, generate meeting agenda, send out meeting announcements, distribute copies of minutes and the agenda to each board member, and preside over each meeting.

The Vice-President shall assist the President, chair committees on special subjects as designated by the board, take over duties of the President if the President is unable to fulfill their duties.

The Treasurer shall collect dues, balance the checking account, make financial reports to hand out at each board meeting and shall make financial information available to board members.

The Secretary shall be responsible for keeping records of board actions, including overseeing the taking of minutes at all board meetings, sending out to the board within three days of the meeting, and assuring that all records are maintained.

The Board Member is responsible for overall policy and direction of the group. The board receives no compensation but will have annual dues of $10.

Section 2: All board members shall be required to sign the Tree City Homeschool Group, Inc. Annual Commitment Letter.

Section 3 - Board members may serve an indefinite number of years but are highly encouraged to commit to a minimum of two consecutive school years.

Section 4 - Meetings and notice: The board shall meet at least quarterly (the second Wednesday of January, April, July and October) at an agreed upon time and place. An official board meeting requires that each board member have a reminder notice at least two weeks in advance.

Section 5 - Board elections: New board positions will be discussed and appointed by a simple majority vote.

Section 6 - Quorum: A quorum must be attended by at least two thirds of board members for business transactions to take place and motions to pass.

Section 7 - Vacancies: When a vacancy exists, the Board will accept nominations for replacement. Potential candidates will fill out an application. Once all submissions are received, discussion will then take place either via email or at the nearest board meeting, which is most efficient. Offers will then be extended to the potential candidate(s). Once an offer is accepted, that person will be able to participate in Board activities/discussion and will be “officially” voted in at the next board meeting. Once voted in, they will be required to sign an Annual Commitment Letter.

Section 8 - Resignation, termination, and absences: Resignation from the board must be in writing and received by the President within a minimum of 30 days, unless otherwise approved by the board. A board member shall be terminated from the board due to excess absences, more than two unexcused absences from board meetings in a year. A Board member may be removed for other reasons by a two-thirds vote of the remaining board.

Section 9 - Special Meetings: Special meetings of the board may be called upon by the request of the President. Notices of special meetings shall be sent out by the President to each board member at least one week in advance.

Section 10 - Voting: If a board member knows ahead of time they will be absent from a regularly scheduled meeting, they may appoint a proxy to vote on their behalf. This proxy must be a current non-voting member of the board. Additionally, the President may call for a special vote via email if business warrants it between regularly scheduled board meetings. These votes shall be open votes, meaning that all votes must be made known to all board members.

ARTICLE IV - COMMITTEES

Section 1 - Committee formation: The board may create committees as needed, such as fundraising, etc. The board appoints all committee chairs.

Section 2 – No committee shall have any power to: fill vacancies on the Board, adopt amend or repeal the by-laws, amend or repeal any resolution of the Board, or act on matters committed by the by-laws or resolution of the Board to another committee of the Board.

ARTICLE V - COORDINATORS

Section 1 - There shall be Coordinator positions appointed by the board. These positions may be added to or terminated as the board sees need with a two-third majority vote. Coordinators may attend board meetings but shall not possess a vote.

ARTICLE VI - AMENDMENTS

Section 1 - These bylaws may be amended annually at the May board meeting by two-thirds majority of the board of directors. Proposed amendments may be submitted at any board meeting or via email if it is a time-sensitive matter.

ARTICLE VII – CONFLICT OF INTEREST

Section 1 – Whenever a director or officer has a financial or personal interest in any matter coming before the board of directors, the affected person shall a) fully disclose the nature of interest and b) withdraw from discussion, lobbying, and voting on the matter. Any transaction or vote involving a potential conflict of interest shall be approved only when a majority of disinterested directors determine that it is in the best interest of the organization to do so. The minutes of meetings at which such votes are taken shall record such disclosure, abstention and rationale for approval.

4. RELEASE OF LIABILITY

I hereby voluntarily release and hold harmless Tree City Homeschoolers and its sponsor, their officers, agents, and employees, from all manner of suits, actions, claims, demands, and liabilities for: any injury, illness, exposure, to and/or contracting the corona virus(COVID-19) or other biological agents, virus, or similar bacteriological agent as a result of the participation of me or my minor-child(ren) in any and all Tree City Homeschoolers events for the 2022-2023 school year. I fully understand, on my own behalf and on behalf of my child(ren) the risks associated with the aforementioned participation and assume any risks associated therewith.

I understand that by signing below, it constitutes a full and complete waiver of all possible claims, including claims of negligence in personal injury or property damage, arising out of my or my minor child’s(ren) participation in all Tree City Homeschoolers events for the 2022-2023 school year. I also recognize the importance of other participants' privacy and will be cautious when posting photos on private social media of other participants.

5. PHOTO RELEASE

During the school year, we may take photographs of class and other activities involving the children to share with our homeschool families and prospective class members. We want to display a positive and exciting experience and let our family and friends see just how great homeschool communities can be. These photos may be published through our website, social media pages, new bulletins, or other marketing sources. We request your permission to take photographs that may involve your child(ren) in various co-op activities throughout our school year.
