Hope Fellowship Co-Op

Handbook & Policies

Hope Fellowship Co-Op (HFC) is a Christian, family-oriented homeschool community committed to learning and growing together. Our goals are to provide extracurricular learning opportunities for children and to encourage fellowship among parents and students.

HFC is not a “drop-and-go” program. Parents are expected to remain onsite and actively volunteer by teaching or assisting in classes during all periods each week.

Membership

Membership is open to homeschooling families with at least one child currently being home-educated.
The oldest participating child must be at least 5 years old by September 1.
Classes are available only to registered members. Each child must be listed on the parent’s registration form.
Membership approval depends on available slots, age-appropriate classes, and agreement to HFC’s statement of faith, policies, and code of conduct.

Cancellations, Transfers, Refunds, and Returned Checks

Membership fees: Non-refundable. Website fees are charged per family and must be paid upfront each year. Unpaid fees will result in disabled log-ins until payment is received.
Semester fees are NON-REFUNDABLE. Families must pay these fees to complete class registration.
Returned checks: Families are responsible for the check amount plus bank fees. Payments may be made via Zelle or Venmo.
Billing: Membership and supply fees are billed in full and cannot be prorated.
Important: If a family’s registration is cancelled due to breaking HFC rules or policies (including attendance and conduct), fees will not be refunded. Funds are used at the beginning of each semester and cannot be recovered once registration closes.

Annual & Semester Fees cover:

Class supplies
Cleaning supplies
Snacks for younger classes
Background checks

Fee Schedule:

$50 annual family fee (due each Spring semester)
$25 per child, per semester (ages 2 and up)
$65 background check per adult (renewed every two years)

Parent Presence:

Students may not be dropped off without a parent onsite.
In emergencies, parents must submit a written request to the Directors naming another parent responsible for their child(ren).
Visitors may attend occasionally with leadership approval. Non-enrolled children may not join classes.

Teaching & Class Submissions

Each family must submit at least one class per semester. Members are encouraged to teach subjects they enjoy to create a fun and engaging environment.
Classes may be adapted for holidays observed by HFC (see “Observed Holidays” section).
Lead teachers must provide their weekly class plan to the assigned backup teacher if they will be absent.
All necessary supplies must be prepared and accessible so the backup teacher can successfully carry out the lesson.
Lead teachers must post their absence on the Co-Op’s communication platform to notify families of changes and confirm which students are expected in each class.
Teachers must also inform the Leadership Team directly to avoid being marked as a “No Call/No Show.

Child Supervision

Children must always be in a classroom, with a teacher, or with their parent.
Students may not enter classrooms until assigned teachers are present.
Parents must escort Pre-K and Kindergarten students to class.
Older students may wait quietly in the hallway until the teacher arrives.
No child may be in a classroom without an adult present.
Parents are responsible for supervising their children before classes begin and during lunch.

IV. Facilities

Treat The Heights Church and its property with respect.
Keep areas clean: dispose of trash, flush toilets, and eat/drink only in designated areas.
No climbing on chairs or tables.
Damage or misconduct will result in:
1. Immediate removal from class for the day.
2. A meeting with parent, child, and HFC leadership.
3. Possible financial restitution.
4. Second offense may result in dismissal from the co-op.

Class Times & Weather Policy

Semesters run for 10 weeks.
- Fall: September–November
- Spring: February–May (includes one week off for Spring Break)
Weekly meetings: Fridays, 9:00 AM – 12:00 PM
Weather: HFC follows BISD closures. Leadership will notify families if classes close early due to changing conditions through the Co-Op designated communication platform.

Classes

Class schedules are set each semester by leadership.
Students must arrive on time and bring required materials if a particular class requires it.
Leadership will work with teachers and parents if a class is not a good fit for a student.
Registration order:
1. Leadership families
2. Returning families
3. New families (status changes to “Returning” after first semester)

Attendance Policy

Consistent attendance is essential for proper staffing.
Families missing three or more class days per semester may have their membership reconsidered.
Families who fail to attend without notifying CFC leadership (no call/text) will have their membership automatically revoked, except in the case of an emergency.

Character and Conduct

At HFC, our desire is to put God first in all we do and to live according to His Word. We are called to train our children to reflect godly character in every area of life. To support this mission, all members agree to the following:

Respect others and property: Show respect through words, actions, and attitudes toward teachers, fellow students, and the church building.
Dress modestly: Wear clean clothing that covers undergarments, chest, stomach, and back.
Limit electronics: Do not bring electronic devices unless authorized by a teacher or HFC leadership.
Be punctual and prepared: Arrive on time, ready to teach or learn.
Follow rules: Understand that disregard for these rules will result in immediate application of the disciplinary policy.
Gossip will not be tolerated. As brothers and sisters in Christ, we are called to encourage one another in love and good deeds. “Let no unwholesome word proceed out of your mouth, but only such a word as is good for edification according to the need of the moment, that it may give grace to those who hear.” (Ephesians 4:29) “Whatever you do, do it in the name of the Lord.” (Colossians 3:23)

Class and Event Ages

Class placement is determined by age:

Babies: 0–1 years
Toddlers: 2–3 years
Early Childhood: 4–5 years
Elementary: 6–8 years
Upper Elementary/Youth: 9+ years

Age is determined by August 1 (Fall semester) and January 1 (Spring semester). This policy is firm. We ask for each family’s cooperation to ensure that classes are balanced, age groups are not overloaded, and instruction flows smoothly. Class placement is designed to match the maturity and skill level expected for each age group.

Illness Policy

For the health and safety of all families, please keep children home if they are ill. Guidelines include but are not limited to:

Fever: 100°F (underarm) or 101°F (oral). Child must be fever-free for 24 hours without medication before returning.
Fever with symptoms: Sore throat, rash, vomiting, diarrhea, earache, irritability, or confusion.
Diarrhea: Two or more loose stools within four hours.
Vomiting: Two or more times in 24 hours (including overnight).
Respiratory issues: Breathing trouble, persistent cough, sore throat, or swollen glands.
Skin conditions: Lice, rash, ringworm, or other contagious spots.
Behavioral signs: Continuous crying, irritability, or requiring more attention than staff can provide.
Activity limitation: Illness prevents comfortable participation in class or outdoor play.
Teacher absences: Lead teachers must notify their backup teacher and inform the Leadership Team to avoid being marked as a “No Call/No Show.”

Student Code of Conduct

Students are expected to glorify God through their behavior.

Do not disrupt lessons.
Pay attention and do your best.
Follow teacher directions.
Remain in class unless given permission.
No electronics unless authorized.
Toward others:
Speak kindly to peers and teachers.
Avoid whining or complaining.
No bullying (verbal or physical).
Respect personal space and property.
Stay off the stage and sound equipment.
Eat/drink only in designated areas.
No running, yelling, or rough play indoors.
Remain in assigned rooms.
Clean up after yourself.
Dispose of trash properly.
Respect for outdoor boundaries:

Do not go into the parking lot or front of the church without a parent.
Stay in the playground area unless accompanied by a teacher or parent.

Discipline:

First offense: Written warning issued by teacher/leadership. Must be signed by parent and returned before student may rejoin class.
Second offense: Student removed from class. Parent contacted. Second written warning issued. Parent-teacher meeting required.
Third offense: Student dismissed from HFC for the remainder of the semester/year.
Note: All offenses count toward the three-strike policy, regardless of type.

Dress Code

No low-cut, tube, halter, backless, or spaghetti strap tops.
Shirts must cover stomach and back, even when arms are raised.
Skirts, dresses, and shorts must reach fingertips when arms are at the side.
Undergarments must not be visible.
Swimwear: One-piece suits required, or a T-shirt over other suits.
No clothing with offensive, rude, alcohol, drug-related, or gang-related messages.
Pants must fit properly and be worn at the waist.
Enforcement: Event leaders may restrict participation for dress code violations. Students may be asked to change, cover clothing, or leave the event.

Food, Drink, and Restrooms

Only water is permitted in classrooms unless otherwise designated by the Lead Teacher.
Empty liquids into sinks before discarding containers.
Snacks allowed only in designated areas or as part of class activities.
Encourage restroom use before class to minimize disruptions.
Restrooms must be kept clean: flush toilets, dispose of trash, wipe counters, and report maintenance issues to leadership.

Photography/Video:

While participating in events sponsored by HFC, it is possible that photographs or videos may be taken of attendees. In order to protect the privacy of our members, it is the policy of this group that any image taken at a HFC event, containing people other than your immediate family, may only be used for the express purpose of personal viewing, HFC yearbook, or HFC website. Members may not use the images for social media (Facebook or other online sites), publishing, or email distribution without the express consent of all persons represented in the image.

Hope Fellowship Co-Op Statement of Faith

Members of Hope Fellowship Co-Op are not required to personally agree with this statement; however, it is important to understand that these are the beliefs of our Co-Op Leadership, and ALL classes will reflect these convictions.

We affirm the following:

The Triune God: The one true God who lives eternally in three persons—the Father, the Son, and the Holy Spirit.
God’s Sovereignty: The love, grace, and authority of God in creating, sustaining, ruling, redeeming, and judging the world.
Scripture: The divine inspiration and supreme authority of the Old and New Testament Scriptures, the written Word of God—fully trustworthy for faith and conduct.
Humanity: The dignity of all people, made male and female in God’s image to love, be holy, and care for creation, yet corrupted by sin, which brings divine judgment.
Jesus Christ: The incarnation of God’s eternal Son, the Lord Jesus Christ—born of the Virgin Mary, truly divine and truly human, yet without sin.
The Cross: The atoning sacrifice of Christ on the cross dying in our place, paying the price of sin, and defeating evil to reconcile us with God.
The Resurrection: The bodily resurrection of Christ as the first fruits of our resurrection, His ascension to the Father, and His reign as the only Savior of the world.
Salvation by Grace: The justification of sinners is solely by the grace of God through faith in Christ.

Christ’s Return: The personal and visible return of Jesus Christ to fulfill God’s purposes: raising all people to judgment, granting eternal life to the redeemed, eternal separation to the lost, and establishing a new heaven and new earth.
